Folder Organization

Hierarchical folder system for organizing projects by client, campaign, type, or any custom structure

Overview

Wubble's folder system provides unlimited hierarchical organization for your projects. Create nested folder structures that match your workflow, whether you're organizing by client, campaign, project type, date, or any custom taxonomy. Folders support drag-and-drop, bulk operations, custom colors, collaborative sharing, and intelligent automation through smart folders.

Unlike traditional file systems, Wubble folders are designed specifically for audio production workflows with features like automatic project counting, size tracking, smart filtering, and seamless integration with collaboration and version control.

What You Can Do with Folders

Create unlimited nested hierarchies with no depth restrictions
Organize by client, campaign, project type, date, or custom categories
Smart folders that automatically filter and display matching projects
Custom colors, icons, and visual organization
Share entire folders with teams and control access permissions
Bulk operations: move, copy, download, archive, or delete multiple projects

Folder Types

Wubble offers different folder types optimized for various organizational needs and workflows. Choose the type that best matches your use case.

Standard Folders

Traditional hierarchical folders that you manually organize. Perfect for client-based organization, campaign management, or any custom structure you design. Support unlimited nesting, drag-and-drop, and bulk operations.

Unlimited nesting depth
Drag-and-drop reorganization
Custom colors and icons
Duplicate with structure

Best for: Client organization, campaign structure, departmental hierarchy, project type categorization

Smart Folders

Dynamic folders that automatically display projects matching specified criteria. Like saved searches, smart folders update in real-time as projects change. No manual organization required—projects appear automatically based on their attributes.

Filter by any project attribute
Auto-updates when projects match
Combine multiple filter criteria
Save common searches

Best for: Platform-specific content, status tracking, date ranges, urgent projects, content by mood/style

Team Folders

Folders shared with your entire team, accessible to all members with appropriate permissions. Changes sync across all team members. Perfect for collaborative work, department resources, and shared asset libraries.

Shared with all team members
Real-time synchronization
Role-based permissions
Shared history and activity

Best for: Team projects, shared resources, departmental assets, brand libraries, collaborative campaigns

Creating & Managing Folders

Wubble provides multiple ways to create and organize folders, from simple point-and-click interfaces to powerful API automation.

Create Standard Folder

1

Click "New Folder"

From the Projects page or within any folder, click the "Add New" button and select "New Folder"

2

Name Your Folder

Give it a descriptive name. Use clear, consistent naming conventions for better organization

3

Customize

Choose a color, add a description, and apply tags for additional organization and filtering

4

Add Projects

Drag existing projects into the folder or create new projects directly inside it

Folder Operations

Wubble provides powerful operations for managing folders and their contents efficiently.

Move Folders & Projects

Drag-and-drop folders to reorganize hierarchy. Move individual projects between folders or bulk-move multiple projects at once. Moving a folder automatically moves all its contents and subfolders.

Duplicate Folders

Duplicate entire folder structures including subfolders and optionally all projects within. Perfect for creating templates or starting new campaigns based on existing structures.

Share Folders

Share entire folders with team members or clients. Set permissions at the folder level—all projects within inherit permissions. Changes sync in real-time for all collaborators.

Star Folders

Mark important folders with stars for quick access. Starred folders appear at the top of your folder list and in a dedicated "Starred" section.

Bulk Download

Download entire folders as ZIP archives. All projects export in your chosen format with organized subfolder structure preserved. Includes metadata files for easy re-import.

Archive Folders

Archive completed work to declutter active workspace while maintaining full access. Archived folders don't appear in default views but remain searchable and accessible.

Delete with Trash Recovery

Deleted folders move to Trash where they can be restored for 30 days. After 30 days, permanently delete or extend retention. Folder deletion includes all contents unless specified otherwise.

Best Practices

Keep Hierarchy Shallow

Avoid nesting more than 3-4 levels deep. Deep hierarchies become difficult to navigate. Use tags and smart folders for additional organization instead of excessive nesting.

Use Consistent Naming

Establish naming conventions and stick to them. Use Title Case or kebab-case consistently. Include dates if organizing chronologically (YYYY-MM-DD format sorts naturally).

Leverage Smart Folders

Create smart folders for frequently-accessed views: "In Review", "This Month", "Instagram Content". Saves time and keeps organization automatic.

Color Code Strategically

Use colors meaningfully: red for urgent, green for approved, blue for in progress, gray for archived. Consistent color coding improves visual scanning.

Archive Regularly

Move completed projects to archive folders monthly or quarterly. Keeps active workspace clean and improves performance. Archived content remains searchable.

Document Folder Purpose

Use folder descriptions to document organizational logic, especially for team folders. Future team members (and future you) will appreciate the clarity.

Combine with Tags

Folders provide primary organization; tags add cross-cutting categorization. A project can be in one folder but have multiple tags for flexible filtering.

Share Thoughtfully

Before sharing folders externally, review contents for confidential or unfinished work. Set appropriate permission levels—clients usually need Viewer or Commenter, not Editor.

Review and Reorganize

Periodically review your folder structure. As your workflow evolves, reorganize to match current needs. Don't be afraid to restructure—the goal is efficiency.

Backup Important Structures

For critical folder structures (especially templates), duplicate and store a backup. Makes recovering from accidental changes or deletions quick and easy.
